POCKET ARBORIST PRIVACY POLICY

Four Roots Co. LLC, doing business as Pocket Arborist (“Pocket Arborist,” “we,” “us,” or “our”), respects your privacy.
This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use the Pocket Arborist mobile application, website, and related services (collectively, the “App”).
This Privacy Policy primarily describes information associated with individual users of the App. Participating contractors and their authorized administrators, employees, technicians, or other professional users may also provide information to Pocket Arborist through contractor or professional features. Additional terms governing those business relationships may be contained in separate written agreements.
1. INFORMATION WE COLLECT
Depending on how you use Pocket Arborist, we may collect the following categories of information.
Account Information
When you create or maintain an account, we may collect information such as:
Name;
Email address;
Telephone number;
Password or authentication information;
Account identifiers;
Contractor association or contractor code;
Account type or user classification; and
Other information necessary to create, secure, or administer your account.
Passwords and authentication credentials may be processed using security measures designed to prevent unauthorized access.
Property and Location Information
We may collect information you provide about a property or service location, including:
Street address;
City;
State;
ZIP code;
Service location;
General geographic information; and
Other location information you provide through the App.
We may also derive approximate geographic information from information such as a ZIP code or service address.
Location information may be used to provide geographically relevant diagnostic information, seasonal information, growing-degree-day information, weather-related information, contractor availability, service routing, or other localized features.
Photographs and Diagnostic Information
When you use diagnostic features, we may collect:
Photographs you upload;
Tree, shrub, plant, or lawn information;
Symptoms you report;
Answers to diagnostic questions;
Notes or comments;
Estimated plant or species identification;
Detected symptoms or features;
AI-assisted assessments;
Possible alternative conditions;
Confidence or scoring information;
Diagnostic history;
Date and time of diagnostic activity;
Seasonal or geographic context associated with a diagnosis; and
Other information generated during the diagnostic process.
Photographs may contain information that you did not intend to submit. You should avoid including people, license plates, private documents, neighboring property, or other unnecessary personal or sensitive information in photographs.
Service Request Information
If you request assistance from a Participating Contractor, we may collect information such as:
Your name and contact information;
Property or service address;
Photographs;
Diagnostic results;
Notes;
Type of service requested;
Date and time of the request;
Contractor associated with the request; and
Communications or status information related to the request.
App Usage and Technical Information
We may automatically collect certain information about use of the App, including:
Device and operating-system information;
App version;
Login and authentication activity;
Diagnostic activity;
Feature usage;
Dates and times of activity;
Error and crash information;
Performance information;
Security events;
Notification-related information; and
Other technical information reasonably necessary to operate, secure, troubleshoot, and improve the App.
We may use cookies or similar technologies on our website where appropriate. Information about cookies or similar technologies may also be provided through applicable website notices or controls.
2. HOW WE USE INFORMATION
We may use information collected through Pocket Arborist to:
Create, authenticate, secure, and administer user accounts;
Provide AI-assisted tree, shrub, plant, and lawn assessments;
Analyze photographs and other diagnostic information;
Estimate plant or species identity;
Identify possible symptoms, pests, diseases, disorders, or other conditions;
Generate diagnostic results and possible alternatives;
Provide seasonal, geographic, weather-related, phenological, or growing-degree-day information;
Maintain diagnostic history;
Connect users with Participating Contractors;
Route and manage service requests;
Provide Participating Contractors with information necessary to respond to users associated with them;
Send account, service, diagnostic, seasonal, plant-health, or other App-related communications;
Provide customer support;
Troubleshoot technical problems;
Monitor and improve App performance;
Protect against fraud, abuse, unauthorized access, and security threats;
Develop, test, evaluate, maintain, and improve our diagnostic systems, datasets, workflows, models, features, and services;
Evaluate diagnostic accuracy and system performance;
Analyze plant-health, pest, disease, lawn, seasonal, geographic, and usage trends;
Develop new Pocket Arborist features and services;
Create aggregated or de-identified analytics, statistics, datasets, and business information;
Comply with legal obligations;
Enforce our Terms & Conditions and other applicable agreements; and
Protect the rights, safety, property, and security of Pocket Arborist, our users, Participating Contractors, and others.
3. ARTIFICIAL INTELLIGENCE AND IMAGE PROCESSING
Pocket Arborist uses artificial intelligence and other technology to analyze photographs and information submitted through the App.
Information submitted for diagnosis may be processed by Pocket Arborist systems and by third-party technology providers that provide artificial-intelligence, image-processing, cloud-computing, data-processing, or related services.
Depending on the feature being used, information provided to these services may include photographs, diagnostic information, plant or symptom information, geographic or seasonal context, and other information reasonably necessary to generate or improve a result.
We seek to limit information provided to service providers to information reasonably necessary for the service they perform.
Third-party service providers process information according to their agreements with Pocket Arborist and their applicable privacy and security obligations.
Pocket Arborist may change, add, or replace technology providers as our systems develop. For that reason, this Privacy Policy may describe categories of providers rather than identify every provider by name.
4. PHOTOGRAPHS, DIAGNOSTIC DATA, AND SYSTEM IMPROVEMENT
Photographs and diagnostic information are an important part of providing and improving Pocket Arborist.
We may use photographs, symptoms, diagnostic results, species estimates, geographic and seasonal context, user feedback, service-request activity, and related diagnostic information to:
Generate requested diagnostic results;
Improve diagnostic accuracy;
Evaluate whether diagnostic systems are functioning correctly;
Test and validate new diagnostic methods;
Develop and improve Pocket Arborist datasets;
Develop, evaluate, and improve AI-assisted features;
Identify common diagnostic errors;
Improve plant, pest, disease, and symptom information;
Improve seasonal and geographic relevance;
Develop new features and services; and
Create aggregated or de-identified analytical information.
Where reasonably possible and appropriate for the intended use, information used for analytics, research, system development, or long-term improvement may be aggregated, de-identified, or separated from information that directly identifies an individual.
Pocket Arborist does not claim ownership of your original photographs merely because you submit them through the App. Rights relating to User Content are further described in our Terms & Conditions.
5. PARTICIPATING CONTRACTORS
If your account is associated with a Participating Contractor, Pocket Arborist may provide that contractor with information reasonably related to its relationship with you and your use of the App.
Depending on the features available to the contractor, this may include:
Your name;
Contact information;
Property or service address;
Diagnostic history;
Photographs;
Diagnostic results;
Date of diagnostic activity;
Service requests;
Notes associated with a request; and
Other information reasonably necessary for the contractor to assist you or administer its Pocket Arborist relationship.
A Participating Contractor may use this information to contact you, evaluate a requested service, prepare for an inspection, respond to plant-health concerns, provide customer service, or maintain records relating to its customers or prospective customers.
Participating Contractors are independent businesses.
Once information has been provided to a Participating Contractor, that contractor may maintain the information in its own customer-management, business, communication, or recordkeeping systems. Information independently maintained by a contractor may be subject to that contractor’s privacy practices and legal obligations.
Pocket Arborist does not control a Participating Contractor’s independent business records or systems.
6. SERVICE REQUESTS
When you use the App to request assistance, an estimate, an inspection, treatment, pruning, removal, or another service, you direct Pocket Arborist to provide information reasonably necessary to process the request to the Participating Contractor associated with that request.
This may include contact information, service address, photographs, diagnostic results, notes, and information about the requested service.
Submitting a service request does not require you to hire the contractor.
7. COMMUNICATIONS AND PUSH NOTIFICATIONS
Pocket Arborist may send communications concerning:
Account administration;
Security;
Password or authentication activity;
Service requests;
Customer support;
Diagnostic activity;
Plant-health information;
Seasonal activity;
Pest or disease activity;
App features;
Important service changes; and
Other information related to use of Pocket Arborist.
If you enable push notifications, Pocket Arborist or a Participating Contractor associated with your account may send notifications through the App.
Contractor-associated notifications may include geographically relevant plant-health, pest, disease, seasonal, service, or other information relevant to users associated with that contractor.
You may control push-notification permissions through your device settings.
Where required by law, marketing communications will be sent subject to applicable consent and opt-out requirements.
8. HOW WE DISCLOSE INFORMATION
We may disclose information in the following circumstances.
Participating Contractors
We may provide information to a Participating Contractor as described in this Privacy Policy, particularly when your account is associated with that contractor or when you submit a service request.
Service Providers
We may use third-party companies and service providers to support Pocket Arborist, including providers of:
Cloud hosting and storage;
Artificial intelligence and image analysis;
Databases and backend infrastructure;
Authentication and account security;
Email and communications;
Push notifications;
Analytics;
Mapping, weather, or geographic information;
Software development and technical support;
Error monitoring and performance analysis; and
Other infrastructure or operational services.
These providers may process information on our behalf as reasonably necessary to perform their services.
Legal and Safety Reasons
We may disclose information if we reasonably believe disclosure is necessary to:
Comply with applicable law, regulation, legal process, or governmental request;
Enforce our Terms & Conditions or other agreements;
Investigate fraud, abuse, unauthorized access, or security incidents;
Protect the rights, safety, or property of Pocket Arborist, users, Participating Contractors, or others; or
Establish, exercise, or defend legal claims.
Business Transactions
If Four Roots Co. LLC or Pocket Arborist is involved in a merger, acquisition, financing, reorganization, sale of assets, transfer of a business, or similar transaction, information may be disclosed or transferred as part of that transaction, subject to applicable law.
9. SALE OF PERSONAL INFORMATION
Pocket Arborist does not sell personal information for money.
If our data practices change in a way that constitutes a “sale,” “sharing,” or similar regulated activity under an applicable privacy law, we will update our disclosures and provide any rights or choices required by law.
10. AGGREGATED AND DE-IDENTIFIED INFORMATION
We may create information that is aggregated or de-identified so that it cannot reasonably be linked to a particular individual.
We may use and retain aggregated or de-identified information for purposes including:
Diagnostic-system development;
Dataset development;
Product improvement;
Plant-health analysis;
Pest and disease trend analysis;
Geographic and seasonal analysis;
Research;
Business analytics;
Service improvement; and
Development of new products or features.
We may retain this information for as long as it remains useful for legitimate business, research, analytical, or product-development purposes, subject to applicable law.
11. DATA RETENTION
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing the App, maintaining accounts and diagnostic history, supporting Participating Contractors and service requests, improving our services, maintaining security, resolving disputes, complying with legal obligations, and enforcing agreements.
Different categories of information may be retained for different periods depending on the purpose for which the information was collected and applicable legal or operational requirements.
Information may remain temporarily in backups or security systems after deletion from active systems.
Information that has been aggregated or de-identified so that it cannot reasonably be associated with an individual may be retained as permitted by applicable law.
Information previously provided to a Participating Contractor may remain in that contractor’s independent business records after information is deleted from Pocket Arborist.
12. ACCOUNT AND DATA DELETION
You may delete your Pocket Arborist account through the App.
When an account is deleted, Pocket Arborist will delete or de-identify personal information associated with the account when reasonably appropriate, subject to information we are permitted or required to retain.
We may retain certain information when reasonably necessary for:
Legal compliance;
Fraud prevention;
Security;
Abuse prevention;
Dispute resolution;
Financial or business recordkeeping;
Enforcement of agreements;
Backup management; or
Establishment, exercise, or defense of legal claims.
Deleting your Pocket Arborist account does not necessarily delete information previously provided to and independently maintained by a Participating Contractor.
Aggregated or de-identified information that cannot reasonably be linked to you may be retained after account deletion.

13. DATA SECURITY
Pocket Arborist uses reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, or misuse.
These measures may include access controls, authentication measures, encrypted communications, infrastructure security, monitoring, and other safeguards appropriate to our systems.
No method of electronic transmission, storage, or information security is completely secure. Therefore, we cannot guarantee absolute security.
You are responsible for protecting your password, device, and account credentials.
14. CHILDREN'S PRIVACY
Pocket Arborist is not intended for children under 13 years of age, and we do not knowingly collect personal information from children under 13.
If we learn that personal information from a child under 13 has been collected without appropriate authorization, we will take reasonable steps to delete it.
If you believe a child under 13 has provided personal information to Pocket Arborist, contact us at support@pocket-arborist.com.
15. PROFESSIONAL AND CONTRACTOR USERS
Participating Contractors and their administrators, employees, technicians, or other authorized users may provide personal information to Pocket Arborist when using contractor portals, professional applications, technician features, or related business services.
This may include names, business contact information, account credentials, permissions, employer or contractor association, usage information, and other information necessary to provide and secure those services.
Additional rights, responsibilities, and data-use terms applicable to Participating Contractors may be governed by a separate written agreement with Pocket Arborist.
16. THIRD-PARTY LINKS AND SERVICES
Pocket Arborist may contain links to contractor websites, third-party websites, app stores, or other services that Pocket Arborist does not control.
This Privacy Policy does not govern the independent privacy practices of those third parties.
We encourage you to review the privacy policies of third-party services before providing personal information directly to them.
17. YOUR PRIVACY CHOICES AND RIGHTS
Depending on where you live and applicable law, you may have rights concerning your personal information, which may include rights to:
Request access to certain personal information;
Request correction of inaccurate information;
Request deletion of certain information;
Obtain information concerning how personal information is used or disclosed; and
Exercise other privacy rights provided by applicable law.
Certain rights may be subject to exceptions, identity verification, and legal limitations.
You may also:
Update certain account information through the App;
Delete your account through the App;
Control push notifications through device settings; and
Contact us with privacy questions or requests.

We may need to verify your identity before completing certain requests.
18. UNITED STATES OPERATIONS
Pocket Arborist is operated by Four Roots Co. LLC in the United States.
Information may be processed and stored in the United States and in other locations where our service providers operate, subject to applicable legal requirements and contractual protections.
19. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy periodically as Pocket Arborist develops or as our legal, technical, or business practices change.
The updated Privacy Policy will be made available through the App or associated website and will include a revised effective date.
If a change materially affects how we collect, use, or disclose personal information, we may provide additional notice or request consent when required by applicable law.
20. RELATIONSHIP TO TERMS & CONDITIONS
Use of Pocket Arborist is also subject to the Pocket Arborist Terms & Conditions.
Participating Contractors and professional users may also be subject to separate written agreements governing contractor participation, professional features, administrative portals, employee or technician access, data access, fees, and other business services.
